Position Summary
We are seeking a detail-oriented and analytical Analyst to join our newly formed team dedicated to advancing initiatives in change management, portfolio management, project management, compliance, document management, and Global Capability Center (GCC) enablement. In this dynamic environment, you will play a crucial role in supporting the team’s efforts to drive projects forward. This role requires a high level of adaptability, a strong analytical mindset, and excellent organizational skills to assist in the efficient execution of tasks and projects. You will work closely with cross-functional teams to provide data-driven insights, maintain project documentation, and support the smooth execution of projects, compliance standards, and alignment with the organization's strategic objectives.

This role reports directly to the Manager, Operations Excellence and involves collaborating closely with the Operations Excellence team to leverage shared expertise and resources for successful execution of all initiatives.

Essential Functions - First Year Objectives:

Portfolio Management:
Support the team in overseeing the project portfolio to ensure alignment with business goals, optimal resource allocation, and timely delivery of key projects. Key responsibilities include:

  • Tools Portfolio Development:
    • Assist in maintaining and updating the tools portfolio library by gathering and organizing details such as costs, contract dates, business owners, key features, and alignment with business strategies.
    • Help maintain a centralized repository for tools, ensuring easy access and regular updates.
  • Monday.com and Asana Optimization:
    • Assist in evaluating workflows within Monday.com and Asana, providing support in gathering data to determine the best strategic use of each platform.
    • Help implement strategies to ensure effective integration and alignment with business goals.
  • BOTs Implementation and Integration:
    • Assist in identifying opportunities for automation through BOTs to enhance efficiency and reduce manual workload.
    • Support the team in the development and execution of a strategic plan for BOT implementation.

Project Management:
Assist in various aspects of the project life cycle from planning through closure, ensuring that projects meet scope, budget, and timeline requirements. Responsibilities include:

  • Future Digital Workflow/Dual IO Integration and Advancement:
    • Provide support in coordinating with stakeholders to ensure alignment with business strategies during the integration of the Future Digital Workflow across Media Brands agencies.
    • Assist in refining workflows to support successful deployment and continuous improvement of the Dual IO initiative.
  • MediaBrands Transition to Prisma:
    • Assist in the execution of the implementation plan for transitioning Media Brands to Prisma, including providing support during testing, training, and phased rollout.
    • Monitor the transition process and provide support as needed to meet operational requirements.
  • Orion Prisma Enhancements:
    • Assist in the coordination of enhancements to ensure alignment with business objectives by collaborating with MediaBrands Product Owners and Managers.
    • Help support the rollout strategy, including aiding in the development of training and feedback mechanisms.
  • Project Management Standardization:
    • Assist in maintaining standardized project management practices across the business, ensuring consistency and efficiency.

Compliance and Document Management:
Assist in maintaining document control processes to ensure accurate records, secure storage, and compliance with internal policies and regulations.

  • Document Repository Development:
    • Help in the development and implementation of a cloud-based document repository.
    • Assist in drafting, editing, and updating Standard Operating Procedures (SOPs), RASCI charts, and swim lane diagrams to ensure compliance.
  • Audit and Compliance:
    • Assist in creating and maintaining documentation to ensure all workflows meet compliance standards.
    • Support audits to verify that all documentation aligns with business standards and maintains data integrity.

GCC Enablement:
Collaborate with the team to support the enablement and scaling of the Global Command Center (GCC), focusing on process standardization, efficiency, and effectiveness.

  • Onboarding and Communication Framework:
    • Assist in the establishment of a framework for onboarding and communication between the GCC and onshore teams, ensuring clear organization and transparency.
    • Support the formalization of communication protocols and integration of operational calendars.
  • Strategic GCC Scaling:
    • Assist in the execution of a comprehensive GCC scaling strategy, focusing on expanding capabilities to drive operational efficiency and innovation.
    • Help support the phased scaling plan by assisting in establishing milestones and assessing readiness at each stage.

Change Management:
Support change management initiatives to ensure smooth transitions and effective adoption of new processes and systems across the organization.

  • Change Management Strategy:
    • Assist in implementing a unified change management framework that aligns with organizational goals.
    • Support the development of communication plans and conduct data analysis to identify and address potential resistance to facilitate seamless transitions.
    • Participate in continuous improvement initiatives and provide support to enhance change management skills within the team.

Supplementary Efforts:
Support various additional efforts that arise, ensuring they are handled with the same level of organization, attention to detail, and strategic alignment as core initiatives:

  • Ad Hoc Initiatives: Provide flexibility and quick adaptation to evolving business needs by supporting unexpected or short-term projects.
  • Cross-Departmental Collaborations: Engage with different departments to support projects that span multiple functions, ensuring clear communication and effective coordination.
  • Continuous Improvement: Assist in identifying and implementing opportunities for process improvement in miscellaneous projects to drive efficiency and enhance outcomes.

Qualifications:

Education:
Bachelor’s degree or equivalent work experience in business administration, Project Management, or a related field.

Experience:

  • Minimum of 2-4 years of experience in project management or operations support roles, with a focus on data analysis, compliance, and process improvement. Experience in supporting cross-functional teams and contributing to strategic initiatives in a dynamic environment.

Skills:

  • Familiarity with media buying systems, such as MediaOcean/MBOX products.
  • Basic experience in developing and maintaining workflow documentation (SOPs, RASCI charts, swim lane diagrams) and ensuring compliance with regulatory standards.
  • Proficiency in tools such as Visio, Monday.com, Asana, and Salesforce.
  • Understanding of basic project management methodologies and the flexibility to adapt best practices to align with the organization’s needs.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Basic familiarity with Global Capability Center (GCC) enablement and operational scaling processes.
